Event Production Brief: Sound, Lighting and the Run of Show

A production brief turns the event you imagine into information the venue, performers and technical partners can work with. Begin with what must happen in the room, then define the equipment and team around it.

Describe the audience and the program

Include the guest count, room layout, event format and the moments people need to see or hear. List speeches, presentations, entrances, live performances and changes between dinner and entertainment.

Tell the team whether a speaker moves through the room, a performer needs a stage or guests use more than one space. Those details help specialists specify sound, staging and lighting that support the event.

Share the venue facts early

  • Event date, guest arrival time and finish time.
  • Load-in access, delivery routes and setup window.
  • Venue plans, available technical information and approved supplier contacts.
  • Power information to be confirmed by the venue and technical team.
  • Sound or operating restrictions communicated by the venue.
  • Rehearsal, sound-check and breakdown windows.

Do not assume the same plan transfers unchanged to another room. The venue and qualified technical partners should confirm suitability and requirements.

Build a run of show with owners

For each key moment, identify the time, action, person leading it and the cue the technical team needs. A toast might involve service pausing, a microphone being ready and a lighting change before the speaker is introduced.

Keep one current version and agree who can approve changes. Share updates with the venue, planning team, performers and production lead so a revised timeline does not leave someone working from an older copy.

Compare proposals on the same scope

Check whether a proposal covers equipment, operators, delivery, installation, rehearsal, show time and breakdown. Ask which information is still provisional and which items depend on final venue or performer requirements.

DTL begins with production planning and coordination. Equipment specifications, suppliers, staffing and pricing are defined with the relevant technical partners for the event; an image of a production setup is not an equipment package or quotation.

Know what to send in your inquiry

Share the date, venue, guest estimate, outline schedule and any performers or presentations. Include the technical supplier contacts and requirements you already have, plus the parts you want DTL to coordinate.
