PLANNING NOTES / DESTINATION PLANNING

Decide which gatherings you want to host: a welcome dinner, the wedding, a private excursion or a farewell meal. Note which guests attend each one and whether the events share a venue.
This helps you compare destinations on the experience you want to deliver. A beautiful ceremony setting may still require transport, accommodation or a different space for the rest of the weekend.
List where guests are travelling from, likely arrival windows, the places they need to reach and the information they will need from you. Consider older guests, families and anyone with access requirements.
Distinguish group transport coordination from individual travel bookings. Identify what the hosts will arrange, what guests will book themselves and who will answer questions. DTL’s planning scope should make those responsibilities clear.
Request the answers from the venue and relevant specialists. Local requirements and ceremony arrangements need destination-specific confirmation.
Share the vendors you have already engaged, their responsibilities and the main contact for each. Agree how approvals, layouts, technical requirements and schedules will be communicated across time zones.
A single decision record can prevent different teams working from different assumptions. Track the current decision, the person approving it and the date by which the team needs an answer.
Include your destination shortlist or booked venue, date or season, guest estimate, home time zone, number of hosted days, budget range and confirmed arrangements. Separate the event budget from travel costs where possible.
