How to Brief a Recurring Venue Entertainment Program

A recurring entertainment program should fit how your venue operates. Start with the guests, the service and the business goal, then decide which music and event format belong in the room.

Choose the occasion you want to develop

Identify a specific opportunity: an underused evening, a daytime gathering, a guest experience for hotel visitors or a reason for existing customers to return. Describe the audience you want to serve rather than starting with a performer name.

A dining-led evening, a rooftop social and a dance-focused event place different demands on volume, staffing, seating and the length of a visit. The format should support the service you want to deliver.

Give talent a practical room brief

Include the venue location, usable space, audience, preferred music direction, set times and the atmosphere you want at different points in the event. Explain whether guests should be able to converse, watch a performance or dance.

Share the available sound system, performance area, access, power and sound-check window. Technical and venue specialists should confirm the actual requirements before a booking is finalized.

Agree on ownership before announcing a date

  • Who books and manages talent?
  • Who confirms technical requirements and setup?
  • Who manages reservations, tickets or guest lists?
  • Who supplies approved photos, artwork and event information?
  • Who handles promotion and answers guest questions?
  • Who makes on-site decisions and collects the agreed results?

The venue’s operating team needs the plan early enough to align staffing, service and guest communications.

Start with a pilot you can evaluate

A single date can help test the format before a longer series. Agree what will be reviewed: attendance, reservations, food-and-beverage sales, service feedback or repeat visits where the venue can measure them.

Compare results with a relevant normal trading period and consider what else changed, including promotions, holidays, weather and staffing. A busy night alone does not establish that entertainment created additional profit.
