Venue Coordinator or Wedding Planner: Who Handles What?

A venue contact is essential. Before deciding whether that covers all your coordination needs, find out who is responsible for the full wedding, including the work beyond the venue’s own team.

Compare responsibilities, not job titles

A venue coordinator’s responsibilities depend on the venue and your agreement. They may focus on the venue’s spaces, catering, staffing and operating arrangements. An independent planner’s scope is defined separately and can connect your wider vendor team, guest logistics, design and event schedule.

Neither title answers every question. Ask both parties to explain what they will manage, when their involvement begins and who makes decisions if plans change.

Walk through the whole wedding day

Start at the first delivery and finish at the final collection. For each stage, name the person who owns it. Include getting-ready locations, ceremony arrangements, transport, reception setup, speeches, entertainment, personal belongings and breakdown.

This is especially useful when the ceremony and reception are in different places. A venue team’s responsibilities may not extend to the church, hotel, transport provider or a welcome gathering elsewhere.

Ask these questions before you sign

  • Who creates and circulates the master timeline?
  • Who confirms arrival times and requirements with outside vendors?
  • Who coordinates the ceremony, processional and transport between locations?
  • Who checks that personal details reach the right place?
  • Who communicates changes to the family, venue, talent and production teams?
  • Who remains responsible when the venue contact finishes their shift?

Use a simple responsibility handover

For every significant task, record the task, its owner, its deadline and the contact needed on the day. For example: ceremony transport; transport company lead; departure time confirmed in the timeline; planner coordinates guest readiness. The actual assignment should be agreed with the people involved.

Where two teams are involved, name one lead and define the handoff. Where nobody owns a task, resolve it before the wedding rather than assuming a family member will take it on.

Choose planning help around the gaps

If venue and vendor choices are still open, discuss Full Planning. If you have signed the venue and vendors but need help bringing their work together, ask about Partial Planning. If your plans are ready and you need on-site execution, discuss Day-of Coordination.

Send Danielle your venue’s included services, the vendors already booked and the parts you want DTL to manage. That creates a useful planning conversation without duplicating work another team already owns.
