What to Include in a Corporate Event Planning Brief

A useful brief gives your planner enough information to make decisions with your team. It connects the business purpose to the guest experience, the budget and the people who approve the work.

Start with one clear objective

Explain why the event is happening and what a successful outcome would look like. A client dinner, product launch, team gathering and retreat require different formats, even if they share a guest count.

Choose an outcome your team can assess: attendance from invited accounts, participation in a program, completed meetings or feedback from guests. The event format should follow that objective.

Describe the audience and their experience

Include the estimated number of guests, their relationship to your organization, where they are travelling from and the tone of the occasion. Explain whether they need to listen, discuss, network, celebrate or move between activities.

Flag speakers, VIP arrivals, accessibility needs and any dietary information your team is collecting. Share sensitive guest details through the agreed planning process, not in a public brief.

Make the commercial and approval framework clear

  • Event date or date range, location and any fixed deadlines.
  • Budget range and the costs it is expected to cover.
  • Internal decision-maker, procurement contact and approval dates.
  • Venue and suppliers already appointed.
  • Brand requirements and materials your team will provide.
  • The responsibilities your internal team will retain.

If the budget is still being developed, identify the decisions that depend on it. This is more useful than asking multiple suppliers to price different assumptions.

Describe the program and production

List presentations, speeches, entertainment, room changes and hospitality moments. Include the time available for load-in, rehearsals and breakdown, plus venue technical information already received.

A production partner needs more than a request for microphones or lighting. The audience size, room layout, speaker movement, presentation sources and show schedule help define suitable equipment and staffing.
